Afternoon Slot
A1) Entry of Tasks from Client Morning Meeting : Record all action items discussed during the morning meeting with the client. Ensure tasks are clearly defined, assigned to responsible personnel, and entered into the project tracking sheet.
A2) Labour Attendance Entry : Update labour attendance in the attendance sheet accurately based on attendance register scan copy. Ensure no discrepancies in manpower count or work allocation.
A3) Task Review for Timely Completion : Conduct a structured review of all ongoing tasks. Identify pending activities, assess progress, and ensure necessary follow-up actions are taken to achieve completion within the planned timeline.
A4) Vendor Master Update – Vendor Addition : Review and update the vendor master list. Ensure 3–5 alternative vendors are available for each major material/service category to avoid work disruption due to supply issues.
A5) Vendor Master Update – Rate Entry : Collect and verify rate quotations from vendors and update the vendor master accordingly. Ensure rates are current, approved, and properly documented.
A6) Verification of Labour Mix at Site : Ensure that the site has the appropriate labour mix as planned, including masons, general labourers, fitters, and carpenters. Verify that manpower deployment aligns with project requirements and productivity targets.
A7) Verification of Previous Day Expense Sheet : Review the expense sheet uploaded by the team for the previous day. Confirm that all bills, invoices, and supporting documents are attached and comply with the approved limits and company policies.
A8) Verification of Dispatch Status – Mobilization Items : Review the Mobilization Sheet and confirm the dispatch status of all mobilization items. Update the sheet with accurate dispatch details and expected delivery timelines.
A9) Update Dispatch Status – Materials in Purchase Sheet : Check the dispatch status of various materials with suppliers and update the Purchase Sheet accordingly to reflect current shipment status.
A10) Transport Planning – Logistics Sheet : Plan and coordinate with transporters for the dispatch of materials. Update transporter details, vehicle information, and expected delivery dates in the Logistics Sheet.
A11) Follow-up on Defect Rectification : Follow up with vendors and repair agencies regarding defect rectification activities. Ensure corrective actions are implemented within the agreed timelines.
A12) Update Daily Planning Sheet - Construction Completion Plinth : Review the “Done” tab in the Daily Planning Sheet for Plinth construction activities to ensure that completed work quantities are properly updated.
If any date entry is missing, immediately notify the group with the message: “Update the daily done quantity in the sheet.”
A13) Raise Purchase Orders – Client-Procured Equipment : Prepare and issue PO's for equipment to be procured directly from the client. Ensure that the indent form is duly filled by the Project Team and approved by the concerned seniors. Only approved indents shall be processed for PO generation.
A14) Maintain Record of Rented Equipment : Maintain accurate records of equipment taken on rental (e.g., generator sets, machinery) at the site, including vendor details, rental period, and rates.
A15) Order New Purchases – Amazon Procurement : Identify new purchase requirements and place orders through Amazon as approved. Ensure proper documentation and cost allocation.
Evening Slot
E1) Labour Search at Nakas : Search labours at designated nakas. Inform the concerned personnel to coordinate and mobilize suitable labour as per site requirements.
E2) Group Review and Task Generation : Review all the project groups. Identify action point and Generate tasks and mark the last date and time when the task was geneated in the columns for each group
E3) Entry of Tasks from Evening Client Meeting (WhatsApp Chat) : Review the WhatsApp chat of the evening meeting with the client. Extract all action points and enter them into the task tracking sheet.
E4) Commercial Documents : To avoid missing entries, all project-related documents must be submitted only through the Google Form.
The following four documents must be uploaded: Signed GRN /E-Way Bill/Tax Invoice /Sigend Delivery Challan (DC)
Expense Reimbursement and Tracking: For reimbursement, fill out the expense form and ensure it is submitted on the same day; otherwise, the expense will be disallowed.
You can review your uploaded expenses in the tracking sheet. Avoid any double entry or omission while recording expenses.
